Brooks Instrument is an industry leader in flow measurement and flow control products for critical applications, and a division of ITW (A Fortune 200 Company) is seeking candidates for an Industrial Contracts Manager.  This highly visible position will be based out of our headquarters facility in Hatfield, PA (Suburban Philadelphia). In addition to our Pennsylvania operations, Brooks maintains manufacturing locations in, Hungary, and Korea.  The Company also maintains sales offices throughout the world.  Our products are used in laboratory and process applications in end markets such as: life sciences, chemicals, semiconductor, analytical instruments, nuclear, and solar cells.

Basic Function 
The Industrial Contracts Manager will be responsible for managing our EPC project orders from RFQ response through shipment.  This includes receiving inquiries from sales representatives relating to contracts/projects reviewing both project requirements and terms and conditions.  He or she will be responsible for coordinating the review of the request with the appropriate departments globally and doing the research to obtain necessary information from relevant policies and procedures. The Industrial Contracts Manager is also responsible for communication with customer and/or sales representative to negotiate terms and conditions and coordinate the responses on technical requirements.  Once the order is received they will follow the project order through to ultimate delivery to the customer. 


Essential Duties and Responsibilities 

  • Receive RFQs for Technical and Commercial Review, consulting with departments globally as necessary (Legal, Quality, Sales, Engineering, Planning, Manufacturing, etc.).
  • Verify order acceptance and work with Projects Coordinator to ensure deliverables are documented and approved; Liaison between sales and engineering in support of RFQ process.
  • Follow up on documentation requirements such as certified prints, approval drawings, status reports, parts lists, electronic documents, etc. that are required by the customer to be sure they are submitted on time.
  • Assist with project execution for complex orders, progress tracking and reporting
  • Support equipment source inspections for EPC contracts and VA equipment orders with Projects Coordinator and Quality
  • Support the quote and order placement process to ensure timely and accurate contract information is provided to the customer and order entry.
  • Work with customers to manage schedule change requests, expediting and push-outs.
  • Respond by phone and e-mail to customer requests for quotes, including applications, pricing and availability of product.
  • Contribute to a global team environment by sharing responsibility in support of the outside sales function and support of the outside sales personnel. 
  • Coordinate technical support to regional managers, representatives, and customers.
  • Keep current with changes in policies, procedures, terms, and government and industry regulations that impact the contract review process globally.
  • The ability to follow all safety procedures.
  • Support and generate ideas for company continuous improvement initiatives.
Education and Experience
  • 4-year college degree (required) with a technical or business major preferred.
  • Contract review / Paralegal experience a plus.
  • Customer service or technical background preferred.
  • Excellent communication skills (both written and verbal) required.
  • Attention to detail and organizational skills a must.
